Regulations for Horse Riding Holiday Camps "Entre Amigos Equestre"
The present regulation for the holiday camps "Entre Amigos Equestre", intends to define the rights, duties and rules to be observed by all the people involved in the activities, so that they are aware of how they can and should guide their attitudes in the spaces and time shared by us.
1. Entity responsible for the Promotion and Organisation of the Holiday Camp
The riding school "Entre Amigos Equestre" was created in 2016, based in Herdade de Montalvo, Alcácer do Sal. It is a private for-profit entity, recognized by FEP and IPDJ.

2. Specific Objectives of the Summer Camp
The holiday camp's objective is to provide initiatives exclusively for children and young people between the ages of 6 and 17, with the aim of providing an organised sports and recreational program for a specific period of time. With the dynamisation of various activities, we intend to achieve the following objectives:
- Ensure the safety of the group throughout the holiday camp;
- To achieve a good working environment and the cohesion of the pedagogical team;
- To achieve a good level of satisfaction and involvement of the group;
- Stimulate and develop the capacities of children and young people;
- To apply the knowledge acquired by children and young people in their environment (family, school and community);
- To acquire better health, hygiene and eating habits;
- Active and responsible participation in the life of the holiday camp;
- To get to know the surrounding natural, rural/urban and social environment.
3. Functioning of the Holiday Camp
The holiday camp will take place during the children's and youngsters' school breaks.
4. Access to Activities
Participants will have access to all activities according to their interests, except for personal, technical or meteorological reasons or by indication of the parents.
5. Programme of Activities
The daily activities throughout the holiday camp shifts will have the following typology:
- Equestrian Activities (riding lessons, horse riding and horse management).
- Other Sports and Recreational Activities
The program may include outings and visits to various places outside the summer camp premises and may also be altered due to weather conditions, or others that the pedagogical team considers relevant, taking into account the safety and suitability of the participants' interests and motivations.
6. Rights and duties of the entity responsible for the Promotion and Organisation of the Holiday Camp
6.1 Rights
- Entre Amigos Equestre has the right to demand the fulfillment of the present regulations, with a view to the good functioning of the holiday camp.
- To register in our activities, the organizer has the right to demand that the registration form is correctly filled in.
- We demand that all members of our summer camp animation teams pay special attention to all signs that may indicate or arouse suspicion of any act of aggression, negligence or mistreatment. We believe that for a good strategy to protect children and young people, careful consideration and the involvement of all the elements that make up the holiday camp is crucial.
- You have the right to require any element that deliberately damages material, whether they be Animators/Monitors or participants, to pay for the damage caused.
6.2 Duties
- Entre Amigos Equestre, as the entity responsible for the promotion and organisation of the holiday camps, has the duty to guarantee to parents, guardians and the community in general that the children and young people are always protected by those responsible for the activities from any type of aggression during the period that they are under our care. To this end, it undertakes to adopt all necessary procedures for the effective protection of all participants, children/young people, Coordinators and Animators/Monitors from misunderstandings or false accusations.
- Entre Amigos Equestre has a duty to survey and forecast all risks that may be involved in the activities to try to abolish or reduce the risk.
- Entre Amigos Equestre has the duty to put together a technical team consisting of the following elements and in accordance with the criteria required by law:
- 1 Coordinator;
- There will be one Animator/Monitor for every 6 participants when their age is less than 10 years old;
- There will be an Animator/Monitor for every 10 participants in cases where the age of the participants is between 10 and 12 years old;
- One Leader/Monitor for each group of 8 participants, in cases where the age of the participants is between 13 and 18 years old.
7. Rights and duties of the participants
7.1 Rights
- Children and young people are entitled to four meals (breakfast, lunch, afternoon snack and dinner).
- They have the right to balanced meals, in sufficient quantity, appropriate to their age and the nature of the activities.
- Participants have the right to be accompanied at all times by the Animators/Monitors.
7.2 Duties
- Participants must follow the instructions and directions of the Animators/Monitors and Coordinators in what concerns the time and the way of carrying out the activities in order to fulfill the camp program. They must also ensure compliance with the present regulations.
- They must behave with dignity, with a correct behavior towards the other participants, the Animators/Monitors and Camp Coordinators, as well as towards all the other people they interact with during the activities (local inhabitants).
- Are responsible for keeping in good condition all the material used in the activities, as well as the furniture and buildings used during the camp.
- They must respect the rules of safety and animal welfare.
- No participant may leave the holiday camp before the end of the activities, unless authorized to do so by the parents.
8. Parents' Rights and Duties
8.1 Rights
- Parents have the right to terminate the participation of their child in the activities, if they so wish. They may also pick up their child from the holiday camp whenever they wish. In the case of other family members or friends who show an intention to take the young person or child, they must be accompanied by an authorization from the parents.
- Parents and carers have the right to use the complaints book available at the holiday camp.
- Parents and guardians have the right to ask for references regarding the Animators/Monitors.
- Parents and guardians of young people or children taking part in our activities have the right to the following documents
- Plan of activities;
- Internal Regulations;
- Identification of the organising entity and respective contacts;
- Registration form.
8.2 Duties
- Parents and guardians have the duty to complete correctly the registration form of the participants.
- They must ensure that children and young people arrive on time and at the location where the activities are to take place, previously indicated by the holiday camp leaders.
- They must provide all the documentation required by the present regulations.
9. Rights and duties of the Pedagogical Team
The adults who work as coordinators and animators / monitors of holiday camps have the responsibility to assume a set of functions, which in the first instance aim to ensure the physical, sexual and psychological integrity of children and young people involved in our activities.
9.1 Coordinator:
9.1.1 Rights
- The coordinator has the right to exclude from the Pedagogical Team any member of the staff who adopts a less appropriate professional conduct, or who does not comply with the present regulation.
- He has the right to change or readjust the summer camp activities plan whenever he feels it is necessary.
- The coordinator reserves the right to exclude any participant who, due to his behavior, significantly jeopardizes the running of the holiday camp, after prior information and contact with the parents.
9.1.2 Duties
- Is responsible for the running of the holiday camp, coordinates the technical, pedagogical and administrative aspects. His/her main function is to elaborate, put into operation and guarantee the fulfillment of the activities plan in order to achieve the foreseen objectives.
- Should maintain a good relationship with all the pedagogical team and the rest of the staff (including the participants). He/she will be responsible for managing the meetings between the Animators/Monitors and for intervening with the participants, ensuring a good resolution of problems and conflicts that may arise. Must ensure that the camp complies with the requirements of the legislation in force, as well as those described in this regulation.
9.2 Animators/Monitors
9.2.1 Rights
- Animators/Monitors have the right to demand compliance with this regulation from participants.
- The Animators/Monitors have the rights set out in the General Labour Law, which include an insurance against accidents at work.
- They have the right to take meals with the participants if they wish to do so.
- Can call a meeting with the Coordinator, whenever necessary, to report any problems and doubts. Should correspond to the pedagogical objectives outlined and present in all the activities
9.2.2 Duties
- The Animators/Monitors must accompany the participants during the execution of the activities in accordance with the planned program of activities, as well as give them any help and support they may need. He is also responsible for the safety of each of the participants and must have a good relationship with them. A good relationship with the coordinator and other staff members is crucial.
- The Animators/Monitors who are part of the pedagogical team should always be aware of their responsibility towards the children and young people participating in the activities. This responsibility is not only ethical, but also legal (civil or criminal). They will always have to pay special attention to less appropriate behavior which, even if it does not jeopardize the rights of all the participants, may be socially reprehensible. They should care for the dignity of children and young people, listen to their opinions, respect their feelings and ensure the nonexistence of acts considered humiliating or discriminatory.
- Before taking any decision that is not foreseen in the activity plan, they should try to inform the coordinator, with a view to its approval, and report on the functioning of the summer camp activities.
- He has the obligation to prepare in advance his work, together with the rest of the team, in the organisation of the activities, always with the support of the Coordinator and to follow his instructions.
- The Animators/Monitors have the obligation to know the group they are responsible for, in order to permanently control the safety of the participants.
- The Animator/Monitor should be attentive to what the participants say or do, through a close accompaniment, without being stifling or oppressive, in other words, showing that he is always available to help solve any problem;
- Whenever possible avoid being alone with the participant. If this is not possible, another Animator/Monitor or Coordinator should be informed in advance;
- The Animator/Monitor should avoid bathing at the same time as the participants;
- There should be constant surveillance (without interfering with the freedom of the individual or the group) to avoid accidents;
- Always be accompanied and know the location of the first aid materials (first aid kit, fire extinguishers...).
- In each activity, always use the appropriate equipment and clothing in accordance with safety regulations.
- In the case of outings involving buses, coordinators/leaders should ensure that everyone is wearing seat belts and avoid leaning on windows or doors.
- Pay attention to the times when participants can practice activities in the water (never after meals).
- In enclosed spaces, emergency exits should be known, as well as being well signposted and properly accessible. Note: All staff should ensure the proper use of equipment, as well as the conservation of equipment and facilities. They should ensure compliance with health, hygiene and safety regulations, as well as animal welfare.
10. Documentation
Parents and guardians must properly register their children and provide the necessary documentation for the process, as well as provide all information that may be relevant to the integration of their children in the holiday camp. Upon delivery of the documents, participants shall receive a copy of the present regulations, of the activity plan and of the contact details of the organizing body. Participants will be informed of the insurance coverage and the existence of a complaints book.
Participants must be accompanied by the following documents
- Identity card or birth certificate;
- Authorisation from the Parents or Guardians
- Health and vaccination card;
- Medical certificate (in case of illness).
Note: Each participant must provide the contact details of the parents or guardians, in case any unforeseen event occurs.
11. It is not allowed in the Holiday Camp
- Alcoholic drinks and narcotics
- Medicines, except in cases where the participant is on medication. These situations must be communicated in writing by the parents and delivered to the Animator/Monitor or Holiday Camp Coordinator;
- Sharp objects or others, which by their dangerousness endanger the physical integrity of participants (knives, blades, knives ...)
- Weapons of any kind;
- Mobile phones are allowed, but they must be delivered to the monitors or stored in the rooms and are their responsibility;
- Video games, consoles and laptops.
- It is not advisable for participants to carry valuable objects or large sums of money, as they may be misplaced.
- The organisation will not be responsible for the disappearance of objects that are not under its care, so each participant will be entirely responsible for taking care of his/her belongings.
12. Medical Assistance
We take into account preventive actions for the activities carried out with first aid material and equipment, any simple treatment carried out by a first aid monitor, as well as transport to any Hospital Center. Each participant is covered by personal accident and civil liability insurance. It is advisable that the participant should be seen by their doctor before joining the camp. Should the child or young person require special medical care, namely medication to be taken, special diet or other situations, please bring a prescription. By signing this form and term of responsibility, the parents are taking responsibility for their child's perfect health.
13. Insurance
All summer camp activities include insurance to cover possible personal accidents, as provided for by Decree 629/2004 of 12 June.
